Privacy Policy
Effective October 13, 2026
This policy explains how Erni.ai (“Erni”, “we”, “us”) handles information when you use erni.ai, talk to Erni, upload a document, or receive an email from us. Erni helps contractors and other small businesses understand their insurance situation. Erni is software. It is not a licensed insurance producer.
What we collect
- What you tell Erni. The messages you type or tap in a conversation, and what you tell us about your business, such as its name, website, license number, trade, employees or current insurance.
- Documents you upload, such as a contract from a customer or a policy declarations page. An AI model reads the file to pull out its structure: document type, limits, required insurance, endorsement form numbers and titles, what is missing, and where each item appears. We keep that structure, not the original file. We do not keep summaries or the text of policy wording.
- Contact details you give us, such as an email address or phone number, when you ask for a link to continue later, ask us to bring in a licensed broker, book a time, or join a waitlist.
- Public business records. We use public records about businesses, such as state contractor license, bond and workers’ compensation records and building permits, to understand a business’s situation and to decide whether to contact it. We may also obtain business contact details (for example a work email address) from public sources and business data providers.
- Technical information. Your IP address, approximate region, browser type, and pages viewed, including in our servers’ request logs. We use it for security, to prevent abuse, to tell automated traffic from people, and to understand how the site is used.
- Email engagement. Our emails contain links and may contain a small image that tell us whether an email was opened and which link was followed.
Cookies and analytics
We use a cookie to keep your conversation with Erni going between visits (for up to 90 days), and a second one that links your conversation to our conversation service. We use PostHog for product analytics: pages viewed, clicks, and session recordings in which what you type is masked. PostHog honors your browser’s Do Not Track setting. We do not use advertising cookies.
How we use information
- To run the conversation, read the documents you upload, and compare what they state.
- To connect you with a licensed insurance broker when you ask for one.
- To contact businesses about something in the public record that may affect their insurance.
- To keep the service secure, prevent abuse, and fix problems.
- To understand and improve how Erni works.
- To meet legal obligations, including honoring unsubscribe requests.
Who we share it with
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
- A licensed insurance broker, only when you ask us to bring one in. We share what the broker needs to help: your business details, how to reach you, what you asked about, and the structure we read from your documents. We do not transfer your original files.
- Service providers that process information for us under contract: Google Cloud (hosting and databases, in the United States), Anthropic and Google (AI models that read messages and documents), Instantly and Resend (sending email), and PostHog (analytics).
- When required by law, to protect rights and safety, or as part of a merger, acquisition or sale of assets.
How long we keep it
- The structure read from an uploaded document is deleted after 90 days.
- Conversations and business details are kept while they are useful for the service, and deleted when they are no longer needed or when you ask.
- If you unsubscribe or ask us to stop contacting you, we keep your address on a suppression list so that we do not email you again.
Your choices and rights
Every email from us has an unsubscribe link, and you can reply asking us to stop. You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by writing to hello@erni.ai. If you are a California resident, you have these rights under the California Consumer Privacy Act, and you will not be treated differently for using them. We may need to confirm your identity before acting on a request, and you may use an authorized agent.
Security
We protect information with access controls, encryption in transit, and limited access by staff and providers. No system is perfectly secure.
Children
Erni is for businesses. It is not directed to anyone under 18, and we do not knowingly collect their information.
Changes
If we change this policy, we will post the new version here with a new effective date. See also our Terms of Service.
